1. Local Presence

We are leading agents in sales and leasing. Our presence in Port Macquarie is greater than any other agent because of our two very prominent main street offices. 2. Careful Tenant Selection

Our experienced leasing consultants are focused on selecting the best tenant for your property. We use the following guidelines to screen applications-

  • Previous rental history
  • Employment and financial history
  • Written references
  • A check of a national tenancy data base for previous history of non-payment. Once we have verified the tenant's information, we consult with you the owner, (whenever possible) to determine the suitability of the applicant.

4. Preparation of Documentation

Once you have approved the tenant we arrange the signing of the Residential Tenancy Agreement and the lodgement of the rental bond.

5. Initial Inspection

Prior to the signing of the Residential Tenancy Agreement, we will carry out a detailed condition and inventory report. This ensures that there can be no disagreement about the condition of the property at the time the tenancy commences. The condition and inventory report is referred to at the end of the tenancy to ensure that the tenant's rental bond is accurately disbursed.

6. Regular Inspections

Included in our management fee are regular periodic inspections of your property. Following a periodic inspection we will forward a written report detailing the condition of the property and recommendations for any routine maintenance and improvements.

7. Final Inspection

Prior to the end of the tenancy we send the tenant a detailed check list of items we require to be attended to prior their vacating of the property. When the tenant vacates we carry out a thorough inspection. During this inspection we refer to the ingoing inspection to determine the refund of the tenant's bond. Photographs can be taken and provided to you upon request. A change of tenant also allows us to-

  • Re-assess the asking rent (if necessary)
  • Determine any renovation work necessary and recommend improvements

8. Prompt Rent Collection

Paying rent is made easy for our tenants. They are supplied with a Laing + Simmons deposit book which enables them to make payments by phone, internet or by direct deposit. Rent is deposited directly into our Trust Bank Account. This system helps reduce rent arrears.

9. Strict Arrears Control

We review arrears twice per week to ensure that the tenants who fail to pay their rent on time are contacted immediately. Those who do not respond to the reminders are served with a warning letter explaining that if they fail to pay they will be served with a Termination Notice which gives them fourteen days to vacate.

This is usually sufficient incentive to encourage most tenants to pay their rent. However, should we need to take further action, we will act swiftly to ensure that the tenancy is terminated or a payment plan is immediately instigated. Any action taken is done so in consultation with our owners whenever possible.

10. Repairs and Maintenance

We monitor repairs very closely. We always contact our owners (if possible) to notify them of repairs and to receive their instructions. Repairs of a more urgent nature (such as no hot water) are attended to as soon as possible where the repair is required for an essential service. We keep a complete record of repairs carried out to your property for future reference. Repairs carried out on your behalf are paid for from rent monies held in Trust. Full details of the repairs are printed on your monthly rent statement with a copy of the relevant invoices attached for your reference.

11. Payment of outgoings

We can arrange payment of all the standard property outgoings such as Council Rates and Strata Levies if instructed to do so. These payments are made from the rent collected on your behalf.

12. Accounting to you

Each month we prepare and forward to you a detailed monthly rent Statement for your property. The statement details the rent collected and disbursements are made on your behalf and the date that the rent is paid to. Your rent monies will be electronically deposited into a nominated account at the end of each month.

13. Financial Year Statement

We produce an Annual financial Statement during the month of July which gives a summary of income and expenditure for the previous financial year. This will help you prepare your annual tax return.

14. Regular Communication
